In November 2012, an exciting new upgrade became available in MeetingMaxx: Group Registration. This upgrade creates a new WWW registration form that allows a coordinator to register multiple attendees from his/her organization and then pay for the entire bundled group with one credit card transaction.
When an association starts to use ‘Group Registration’, several changes occur on the Intranet …
1) New Fields appear on Meeting Setup Page 1, under the ‘Information for Registration Form’ section
* Group Registration
This setting defaults to “NO.”
Once it is set to YES and a group registration is received, this setting locks in the YES position
* Allow Placeholders
Once Group Registration is on, meeting staff should decide if you want coordinators using the WWW side to be able to register ‘Placeholders’ to hold spaces for staff they have not determined yet. You are basically allowing them to take advantage of early bird rates, or register for events that will sell out, without making them actually select a person. This feature is meant to combat the feedback we are getting from some associations that coordinators are muddying the database with fake people they are themselves creating for this purpose.
* New Text Fields
The new Group Registration flow gives staff much more control of the help text at the top of each WWW page. Please keep in mind that these fields will be seen both on initial entry and subsequent edits, so please construct help text accordingly
2) Staff should consider Revisiting Existing Fields
If you are turning on Group Registration, you may want to reconsider your words on existing fields (such as Thank You, Payment, and Cancellation) as well as whether or not you have setup a staff person to receive notices of new or revisited registrations
3) When a meeting is set to take Group Registrations from WWW, some view and functions change …
* You no longer pay or apply discounts from the Registration view page. Instead you do this from the ‘Bundle’
