My Meetings

MeetingMaxx includes a powerful add-on called MyMeetings that allows you to restrict meeting/conference/event resources so that only certain users or members can access them.

How do I setup MyMeetings?

MyMeetings is setup at the meeting level, so pick a meeting and let’s begin!

  • Start at the meeting view page and open the accordian labeled “Manage WWW Display” and you’ll see a link that says “Manage MyMeetingMaxx: Information and Uploads.”
  • When you click the link, you’ll see options to upload documents, choose where the documents are available, and to establish rules as to who can see and access the documents. You can filter access to the documents via three main categories:
  1.  Attendee Definition: This allows you to definite a meeting “attendee”  by whether or not the person has simply registered, paid in full, or been approved by your staff.
  2.  Membership Type(s) also allowed: Here you can choose if only certain membership types are able to access documents. (For example, only your ‘Platinum’ members can see the documents for this meeting, but not your lower tier ‘Bronze’ members.)
  3. List(s) also allowed: This gives you the option to choose to allow only members of certain mailing or committee lists access to your meeting documents.

How do my members/users access MyMeetings?

  •  Links to MyMeetings are automatically included as part of the MatrixMaxx-generated WWW Calendar and WWW Meeting View pages, so your members will be able to access MyMeeting information through the same pages they are already using
  • You may also add a MyMeetings accordion section to the Individual WWW ‘My Profile’ page to give your members a second access point to the MyMeeting information.(SiteAdmins may do this on your MatrixMaxx Intranet under Admin -> Edit Custom Settings -> WWW Personal Profile -> Is ‘My Meetings’ section enabled? and ‘My Meetings’ Helptext)
