The first thing to know before working with the Sponsorship module of MatrixMaxx is the difference between Sponsorships, Opportunities and Sponsors.
- Sponsorships are the overall event or group of the sponsorship. So ’25th Annual Meeting’, ‘Golf Tournament’, or ‘2013 Publications’
- Opportunities are the actual things that can be sponsored. So ‘Badges’, ’18th Hole’, or ‘Safety Guide’
- Sponsors are the Individuals or Organizations who are doing the sponsoring.
Enter a Sponsorship
To get started, you must create a Sponsorship as a bucket to hold your opportunities. Under the Fundraising Tab, click “Sponsors.” In the Sponsors sub-navigation, click the ‘Add New Opportunity’ link on the left of the page and enter the details of the overall sponsorship. (Important note: in this step you are actually creating the Sponsorship. You will have the chance to enter a new opportunity associated with this sponsorship as you step through the process.) This includes dates, location, staff contact, and related meeting, if applicable.
Enter Opportunities
Once you have the Sponsorship entered, you will then continue to enter the Opportunity(s). You may enter as many Opportunities as you need.
You will need to enter the number of sponsors allowed for each opportunity. For example, if only one organization is allowed to sponsor the 18th Hole, you would set the number allowed for that opportunity to 1.
You will also enter the value at this time. This is what you will be asking for this opportunity. You may put in a different amount paid when you actually attach a sponsor. You would also not worry about in-kind sponsorships at this point as that is noted when adding the sponsor.
If you want this opportunity to be available on the WWW site, make sure to select either member types of a list of people who may sponsor it.
Once you are done entering your Opportunities, you will be taken to the view page for this Sponsorship.
Enter Sponsors on the Intranet side
From the View page for this Sponsorship (to find all Sponsorships, click “Search for Opportunities” in the Sponsors sub-navigation), you will see a link to enter a new sponsor. Click this link when you are ready to attach an individual or organization to an opportunity.
You will first find the Organization or Individual that is sponsoring the Opportunity. Don’t forget to select an Arranger/Contact if the opportunity is being sponsored by an organization.
Next, indicate which Sponsorship and Opportunity is being sponsored. Adjust the amount if it is different from the original value, then select if this is an in-kind sponsorship.
Once you have entered this info, you will be taken to the view screen for this sponsor where you can enter payment(s) and process the invoice.
Enter Sponsors on the WWW side
If you want to see/try the WWW side, then simply follow the WWW link on the navigation. You can experiment with searching, publishing out sponsorships, etc.
